Document Intelligence
Document Intelligence (Intelligent Document Processing, or IDP) uses AI to classify, extract and validate data from documents such as invoices, purchase orders, forms and contracts, then deliver that data into your business systems. GrtLabs, a Houston AI lab, builds these document pipelines for your team.
What it is
We combine OCR, large language models and business rules to read incoming documents, identify their type, pull out the fields you need, check them against your data, and push clean records into your ERP, CRM, e-commerce or finance tools. Exceptions are routed to people for review. This approach is also called intelligent document recognition (IDR) or intelligent document processing (IDP).
Who it is for
- Accounts payable teams processing invoices and receipts
- Procurement teams handling purchase orders and supplier documents
- Claims teams reviewing forms and supporting evidence
- Compliance teams checking documents against policies
What we deliver
- Document classification and field extraction pipelines
- Validation rules and matching against your existing data
- Integrations into your systems of record
- Human-in-the-loop review screens for exceptions
- Monitoring, logging and handover documentation
Example use cases
- Turning emailed PDF purchase orders into orders in your commerce platform
- Extracting invoice data and matching it to purchase orders
- Sorting and indexing inbound documents by type
- Pre-checking claim or onboarding packets for missing information
Cognitive document automation vs. template OCR
Cognitive document automation is another name for this approach. Template-based OCR breaks when a supplier changes its invoice layout. An AI document pipeline reads each page in context, the way a person would, so one pipeline can handle invoices, purchase orders and forms from many different senders without building a new template for each. Business rules and human review still decide what gets posted to your systems.
Intelligent document indexing, search and retrieval
Intelligent document indexing uses AI to tag each incoming document with its type, key fields and dates, so your team can find any invoice, contract or claim in seconds instead of digging through folders. The same index can power a RAG knowledge base, letting staff ask questions about your documents in plain language and get answers with links to the source file. This is intelligent document retrieval: instead of matching file names, the system finds the right document, page or passage by meaning and by its tagged fields.

How it fits with Agentic AI and AI Automation
Document Intelligence is often the first step of a larger workflow. Extracted data can feed AI Automation workflows, and Agentic AI agents can act on it, for example by resolving exceptions or updating records across systems.
FAQ
What is cognitive document automation?
Cognitive document automation uses AI to read, classify and extract data from documents in context instead of relying on fixed OCR templates. GrtLabs builds these pipelines as part of its Document Intelligence (intelligent document processing) service.
Is Document Intelligence the same as intelligent document recognition?
Yes. Intelligent document recognition (IDR), intelligent document processing (IDP) and cognitive document automation all describe AI that recognizes what a document is, reads it in context and extracts the data you need. GrtLabs’ Document Intelligence service covers all three.
What is intelligent document indexing?
Intelligent document indexing uses AI to classify documents and tag them with key fields such as vendor, customer, dates and amounts, so they can be searched and retrieved instantly. GrtLabs builds indexing into its Document Intelligence pipelines and can connect the index to a RAG knowledge base for question answering.
What is intelligent document retrieval?
Intelligent document retrieval uses AI to find the right document, page or passage from a question or a few key fields, such as a vendor name, contract date or claim number, rather than an exact file name. GrtLabs builds retrieval on top of the same index that Document Intelligence creates, and it can feed a RAG knowledge base so answers link back to the source document.
How accurate is intelligent document processing?
Accuracy depends on document quality, layout variety and the fields you need, so GrtLabs measures it on a sample of your own documents during AI Discovery before anything goes live. Every extracted field gets a confidence score and is checked against business rules, and anything below your threshold goes to a person for review, which keeps the data accurate while the model improves over time.
What document types can you handle?
Common formats include PDFs, scanned images, emails and office files. We assess your actual documents during scoping.
Do people still review the results?
Yes. Low-confidence or invalid results are routed to a reviewer, so you stay in control.
Which systems can it connect to?
We integrate through APIs, databases or file exchanges with your ERP, CRM, e-commerce and finance tools.
